Attended a thought leadership webinar?\u00a0For many people, they&#8217;ve done one of those in the past week.<\/p>\n<p>The modern business world operates simultaneously in face-to-face and virtual spaces. Yet, many people are uncomfortable in the virtual world. (I know I&#8217;m guilty.)<\/p>\n<p><span style=\"color: #f68920\"><strong>For businesses to remain agile and productive, we all need to overcome this discomfort by developing\u00a0<\/strong><strong>better<\/strong><strong>\u00a0virtual presence.\u00a0<\/strong><\/span>This includes event\u00a0<span style=\"color: #6bc8dc\"><strong>hosts<\/strong><\/span>\u00a0&amp;\u00a0<span style=\"color: #a3cd3a\"><strong>participants<\/strong>\u00a0<\/span>alike!<\/p>\n<p><strong>So, we\u2019re going to\u00a0address the first \u201cvirtual presence challenge\u201d many of us face:\u00a0<span style=\"color: #225d71\">Lacking virtual awareness.<\/span><\/strong><\/p>\n<hr \/>\n<h2><span style=\"color: #bb2025\">What is Virtual Presence?<\/span><\/h2>\n<p>Pinning down a definition for virtual presence can be tricky. It\u2019s best understood in the contexts of \u201cgood\u201d virtual presence:\u00a0<strong>\u201cThe skill set needed to deliver engaging, impactful virtual experiences effectively.\u201d<\/strong><\/p>\n<p><a href=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2018\/08\/Example-of-Good-Virtual-Presence.jpg\" rel=\"attachment wp-att-13151\"><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter wp-image-13151 size-full\" src=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2018\/08\/Example-of-Good-Virtual-Presence.jpg\" alt=\"Example of a meeting host with good virtual presence\" width=\"650\" height=\"512\" \/><\/a><\/p>\n<p>These skills are very relevant\u00a0to online meetings, virtual\u00a0trainings, or webinars &#8211;\u00a0<em>for both\u00a0<span style=\"color: #6bc8dc\"><strong>hosts<\/strong>\u00a0<\/span>and\u00a0<span style=\"color: #a3cd3a\"><strong>participants<\/strong><\/span><\/em>.\u00a0<strong>Good virtual presence goes beyond enabling webcams and screen sharing.\u00a0<\/strong><\/p>\n<p><strong>Here are the\u00a0<span style=\"color: #6ac8dc\">hallmarks of a good host<\/span>:<\/strong><\/p>\n<ul>\n<li>Ability to avoid tech issues and glitches<\/li>\n<li>Understanding of the full scope of tools available and enabling participants to engage when\u00a0appropriate<\/li>\n<li>Prepare their virtual room in advance, so the layout is intuitive for their\u00a0participants<\/li>\n<\/ul>\n<p><b><span style=\"color: #a3cd3a\">As for participants,<\/span>\u00a0good virtual presence\u00a0lies in their\u00a0commitment to:<\/b><\/p>\n<ul>\n<li>Express opinions by either using their computer microphone or telephone (if\u00a0<span style=\"color: #bb2025\"><strong><a style=\"color: #bb2025\" href=\"https:\/\/www.meetingone.com\/blog\/why-you-should-always-integrate-audio\/\">integrated<\/a><\/strong><\/span>)<\/li>\n<li>Participate\u00a0with tools presented like chats, annotations, or polls for interactions<\/li>\n<li>Change their statuses actively to demonstrate\u00a0presence<\/li>\n<\/ul>\n<hr \/>\n<p><span style=\"color: #f68920\"><strong>An example that resonates with me\u00a0is document\u00a0annotation.<\/strong><\/span>\u00a0Imagine a team is reviewing their latest product flyer\u00a0in\u00a0an online meeting. Start a trial\u00a0<span style=\"color: #bb2025\"><strong><a style=\"color: #bb2025\" href=\"https:\/\/www.meetingone.com\/free-trials\/integrated-audioone-adobe-connect-trial\/\">today<\/a><\/strong><\/span>!)<\/p>\n<p><span style=\"color: #225d71\"><strong>Learning the ins and outs of tools comes with experience and time &#8211; so don&#8217;t worry if you&#8217;re not there yet.<\/strong>\u00a0<\/span>But it does exemplify good virtual presence in an online event.<\/p>\n<hr \/>\n<p><strong>The challenges of virtual presence go beyond the features used by hosts and participants.\u00a0<span style=\"color: #225d71\">The &#8220;first hurdle&#8221; of virtual presence is much more encompassing.\u00a0<\/span><\/strong><\/p>\n<hr \/>\n<h2><span style=\"color: #bb2025\">The\u00a0First\u00a0Hurdle of Virtual Presence (Understand It, Overcome It)<\/span><\/h2>\n<p><strong>The first hurdle of\u00a0getting or delivering value from\u00a0online\u00a0sessions arises when people don\u2019t know how they should operate in a virtual space.<\/strong>\u00a0Hosts and participants\u00a0can\u00a0both be guilty of naturally treating online meetings or events the same as those held face-to-face.<\/p>\n<p><strong>We&#8217;ve been trained to operate in physical spaces, but there are huge differences\u00a0<\/strong><strong>to consider when meeting online.<\/strong><span style=\"color: #f68920\"><strong>\u00a0Behavior actually needs to change from one setting to the other.\u00a0<\/strong><\/span><\/p>\n<h4>What causes these rifts between these physical and online environments?<\/h4>\n<p>Our good friends at\u00a0<strong><span style=\"color: #bb2025\"><a style=\"color: #bb2025\" href=\"http:\/\/www.virtualgurus.com\/\">Virtual Gurus<\/a><\/span><\/strong>\u00a0have shared with us three factors that differentiate face-to-face and the online settings:<\/p>\n<ol>\n<li>Operational Distance<\/li>\n<li>Psychological Distance<\/li>\n<li>Cultural Distance<\/li>\n<\/ol>\n<hr \/>\n<h3><span style=\"color: #f68920\">Operational Distance<\/span><\/h3>\n<p>When you\u2019re face-to-face\u00a0in a meeting or training, it\u2019s a whole heck of a lot harder to respond to emails without looking inattentive than if you\u2019re online and hidden from sight.<\/p>\n<p><b>Online events necessitate that someone is on their computer or phone, and they are typically at their desk.\u00a0<span style=\"color: #225d71\">Although even in physical\u00a0spaces distractions can be abundant,\u00a0<\/span><\/b><span style=\"color: #225d71\">online\u00a0d<\/span><span style=\"color: #225d71\">istractions offer\u00a0are hidden from the eye\u00a0and can be easier to fall into.<\/span>\u00a0Access to email, IM, Google, and Slack are attention hogs that can affect the outcome of online events.<\/p>\n<p><strong>A<\/strong><span style=\"color: #bb2025\"><strong>\u00a0<span style=\"color: #6ac8dc\">host<\/span>\u00a0<\/strong><\/span><strong>for any online event must be cognizant of these challenges. Take actions to help your participants combat these distractions:\u00a0<\/strong><\/p>\n<ul>\n<li>Remind participants to close down active programs at the start of each session<\/li>\n<li>Be aware of status indicators\u00a0&#8211; they can\u00a0signal that a participant has a screen active outside of the virtual room or has become inactive<\/li>\n<li>Offer hands-on engagement every 2-5 mins to encourage attention and active participation to stay inside the virtual space<\/li>\n<li>Change visuals constantly &#8211; don&#8217;t linger on slides, documents, or screens longer\u00a0then\u00a01-2 minutes<\/li>\n<\/ul>\n<p><span style=\"color: #a3cd3a\"><strong>As for participants,<\/strong><\/span>\u00a0<strong>they need to be accountable, too:<\/strong><\/p>\n<ul>\n<li>Make goals for what you want to get from the virtual session before it begins to focus your mind<\/li>\n<li>Close out of your email, IM,\u00a0and other programs during an online event to preserve the best connection and to help you stay focused<\/li>\n<li>Always do your best to engage with the content shared &#8211; take notes and participate in polls and chat<\/li>\n<li>Attend sessions in a small private room where noise and interruptions can be limited<\/li>\n<\/ul>\n<hr \/>\n<h3><span style=\"color: #f68920\">Psychological Distance<\/span><\/h3>\n<p><strong>Everything in life is about relationships.<\/strong>\u00a0<span style=\"color: #225d71\"><strong>All too often, the regular interactions we\u2019d have with people in-person are forgotten about in the virtual setting.<\/strong><\/span><\/p>\n<p>Anyone\u00a0<strong><span style=\"color: #6ac8dc\">hosting<\/span><\/strong>\u00a0online events must remember the importance of the little things, like greetings.\u00a0During MeetingOne\u2019s webinars, we like to see where people are joining from.\u00a0Even asking about the weather is a good conversations starter!<\/p>\n<p><a href=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2018\/08\/Psych-Distance-image.jpg\" rel=\"attachment wp-att-13153\"><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter wp-image-13153 size-full\" src=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2018\/08\/Psych-Distance-image.jpg\" alt=\"Another good example of virtual presence\" width=\"650\" height=\"423\" \/><\/a><\/p>\n<p>Virtual presence depends upon being appreciative of the needs of your audience.\u00a0<span style=\"color: #bb2025\"><strong>Providing a real sense of human interactions is a crucial component.<\/strong><\/span><\/p>\n<p>We would encourage all\u00a0<span style=\"color: #a3cd3a\"><strong>participants<\/strong><\/span>\u00a0to actively engage a host or speaker at the beginning of an event. A simple pleasantry, like, &#8220;Excited to be here,&#8221; can help get things off on the right foot.<\/p>\n<hr \/>\n<h3><span style=\"color: #f68920\">Cultural Distance<\/span><\/h3>\n<p><strong>Let\u2019s imagine two scenarios.<\/strong>\u00a0In the first scenario, a female business executive goes to Japan to discuss a business deal. In the second, she uses an online meeting space to negotiate.<\/p>\n<p><strong>In which scenario do you think the executive is more likely to forget the cultural context defining the conversation?\u00a0<span style=\"color: #225d71\">Probably the second.<\/span><\/strong><\/p>\n<p>This example isn\u2019t intended as a dismissal of using the virtual space for important conversations. It&#8217;s meant to show a potential pitfall of under-appreciating how the two spaces work.<\/p>\n<p><strong>Awareness of how culture shapes expectations of a<\/strong><span style=\"color: #bb2025\"><strong>\u00a0<span style=\"color: #6ac8dc\">host\/presenter<\/span>\u00a0<\/strong><\/span><strong>is an aspect of good virtual presence.<\/strong><\/p>\n<p><strong>The responsibilities are a little different for<\/strong>\u00a0<strong><span style=\"color: #a3cd3a\">participants.<\/span><\/strong>\u00a0Some cultures are strictly hierarchical, making it uncomfortable for individuals to ask questions. If you don&#8217;t feel comfortable giving input, using the status feature may be your best route!
