That\u2019s why\u00a0my team and I put our heads together to\u00a0provide\u00a0the essential 7 tips in the blog above to help ease the challenges.\u00a0<span style=\"color: #225d71\"><strong>But\u00a0good tips go beyond just MY team&#8230;<\/strong><\/span><\/p>\n<p><strong><span style=\"color: #225d71\">This time, we\u2019re presenting a strategy our Customers use and love:<\/span>\u00a0<span style=\"color: #f68920\">Managing events with multiple producers.<\/span><\/strong><\/p>\n<p>When it comes to managing large, critical events where the stakes are high, and the outcome must be a success,\u00a0our customers\u00a0have pinned down\u00a0the most assured practices for\u00a0professional,\u00a0mistake-free events.<\/p>\n<p><span style=\"color: #bb2025\"><strong>In this blog, you\u2019ll\u00a0learn\u00a0what our customers are doing to ensure the success of live Adobe Connect events.\u00a0<\/strong><strong>Woohoo<\/strong><strong>!<\/strong><\/span><\/p>\n<p><a href=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2018\/06\/Host-large-adobe-connect-events-feature-image.jpg\" rel=\"attachment wp-att-13009\"><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-13009\" src=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2018\/06\/Host-large-adobe-connect-events-feature-image.jpg\" alt=\"host large adobe connect events successfully with these tips\" width=\"450\" height=\"500\" \/><\/a><\/p>\n<hr \/>\n<h2><span style=\"color: #bb2025\">Producers, Producers, Everywhere You Turn<\/span><\/h2>\n<p><strong>You may wonder why anyone would require more than one person to produce an Adobe Connect event.<\/strong>\u00a0You need at least one to help the speaker manage engagement and the presentation&#8217;s flow.\u00a0Let\u2019s consider\u00a0why some of MeetingOne&#8217;s customers take this approach.<\/p>\n<p><span style=\"color: #f68920\"><strong>There are three factors come into play:<\/strong><\/span><\/p>\n<p><a href=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2018\/07\/Large-audience.jpg\" rel=\"attachment wp-att-13055\"><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter wp-image-13055 size-thumbnail\" src=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2018\/07\/Large-audience-150x150.jpg\" alt=\"large adobe connect events\" width=\"150\" height=\"150\" \/><\/a><\/p>\n<h3><span style=\"color: #225d71\">#1. Large Scale Interactions<\/span><\/h3>\n<p>Some of our customers host large events with hundreds (if not thousands) of participants. Managing interactions on this scale can be difficult. As the adage goes, when it rains, it pours. I&#8217;ve produced webinars where we were inundated with questions in the Q&amp;A and the chat. Fortunately, we had a team of 4 to answer questions and sort through things.<\/p>\n<p><a href=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2018\/07\/Complex-subject.jpg\" rel=\"attachment wp-att-13056\"><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter wp-image-13056 size-thumbnail\" src=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2018\/07\/Complex-subject-150x150.jpg\" alt=\"large adobe connect events\" width=\"150\" height=\"150\" \/><\/a><\/p>\n<h3><span style=\"color: #225d71\">#2. Demanding Topics<\/span><\/h3>\n<p>Some of our customers are speaking to or educating audiences in heavily regulated industries like healthcare or large EDU lectures, and subject matter can be complicated. They need several producers to simply answer challenging questions if the speaker\/expert is unavailable or must not be interrupted.<\/p>\n<p><a href=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2018\/07\/Engagement.jpg\" rel=\"attachment wp-att-13057\"><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter wp-image-13057 size-thumbnail\" src=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2018\/07\/Engagement-150x150.jpg\" alt=\"large adobe connect events\" width=\"150\" height=\"150\" \/><\/a><\/p>\n<h3><span style=\"color: #225d71\">#3. A Goal of Engagement<\/span><\/h3>\n<p>Pretty much all of our\u00a0customers are trying to spur engagement from their audience to maximize their message and event enjoyment. Engagement is critical for large online\u00a0trainings\u00a0and webinars. Given there are so many features in Adobe Connect that help, it\u2019s almost always beneficial to have someone managing each one. We&#8217;ll touch on this more below.<\/p>\n<hr \/>\n<p><span style=\"color: #f68920\"><strong><span style=\"color: #333333\">What we see is our customers dividing responsibility between two groups:\u00a0<\/span>The \u201cInternal Team\u201d of producers\u00a0&amp; the \u201cExternal Team\u201d of MeetingOne producers.<\/strong><\/span>\u00a0For these organizations, it&#8217;s essential to have both.<\/p>\n<p><a href=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2018\/07\/Internal_External-teams-infographic-2.jpg\" rel=\"attachment wp-att-13051\"><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-13051\" src=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2018\/07\/Internal_External-teams-infographic-2.jpg\" alt=\"adobe connect event producer teams\" width=\"580\" height=\"600\" \/><\/a><\/p>\n<p><span style=\"color: #333333\"><strong>Let&#8217;s look into how the two teams are used.<\/strong><\/span><\/p>\n<hr \/>\n<p><a href=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2018\/07\/Internal-Team.jpg\" rel=\"attachment wp-att-13052\"><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-13052\" src=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2018\/07\/Internal-Team.jpg\" alt=\"internal team of adobe connect event producers\" width=\"300\" height=\"306\" \/><\/a><\/p>\n<h3><span style=\"color: #f68920\">Internal Team Producers<\/span><\/h3>\n<p><strong>Internal Teams manage the aspects of the event unique to their company or the subject being presented.\u00a0<\/strong>This\u00a0includes several important tasks: Managing the presentation, the chat, and the Q&amp;A.<\/p>\n<h4><span style=\"color: #225d71\">Presentation Management<\/span><\/h4>\n<p>While MeetingOne producers can comment on the flow or pacing of an event, content development is up to our customers.\u00a0Our Customers\u00a0put producers in a good position to manage the presentation &#8211; their internal producer must know the flow of the presentation and any goals relevant to timing during transitions.<\/p>\n<p><strong>Why? This internal producer will be\u00a0moving through slides and transitioning between Layouts in Adobe Connect.<\/strong>\u00a0We most often see the speaker or lead producer manage these aspects.\u00a0The speaker should be the most comfortable with the slides, so it&#8217;s\u00a0best if they click through them. Setting up or moving between layouts, though, is not always something a speaker is comfortable with, so we see lead producers manage that flow.<\/p>\n<div style=\"width: 800px;\" class=\"wp-video\"><!--[if lt IE 9]><script>document.createElement('video');<\/script><![endif]-->\n<video class=\"wp-video-shortcode\" id=\"video-5604-1\" width=\"800\" height=\"449\" preload=\"metadata\" controls=\"controls\"><source type=\"video\/mp4\" src=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2018\/02\/Layout-Transitions-New.mp4?_=1\" \/><a href=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2018\/02\/Layout-Transitions-New.mp4\">https:\/\/www.meetingone.com\/wp-content\/uploads\/2018\/02\/Layout-Transitions-New.mp4<\/a><\/video><\/div>\n<p><span style=\"color: #bb2025\"><strong>Transitioning between layouts is beneficial.<\/strong><\/span>\u00a0It allows you to introduce points of interactions &#8211; polls, file shares, quizzes &#8211; without disrupting the presentation itself.<\/p>\n<hr \/>\n<p><strong>Unique to Adobe Connect is the ability to create content on the fly.<\/strong>\u00a0We see many of our customers&#8217; lead producers doing just that. They pick up on a debate in chat or an important question in the Q&amp;A pod, turn around and create a poll, and throw it in a new layout. They can then quickly transition to this layout to spark further engagement.<\/p>\n<p><a href=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2017\/06\/Presenter-Area-Poll.png\" rel=\"attachment wp-att-10186\"><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-10186\" src=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2017\/06\/Presenter-Area-Poll.png\" alt=\"Adobe Connect room - presenter area\" width=\"425\" height=\"327\" \/><\/a><\/p>\n<p>They can do all of that without affecting the flow of the presentation in the least.\u00a0<strong>Here&#8217;s a blog on how you can<\/strong>\u00a0<span style=\"color: #bb2025\"><strong><a style=\"color: #bb2025\" href=\"https:\/\/www.meetingone.com\/blog\/live-editing-adobe-connect-rooms\/\">edit your Adobe Connect room during a live event<\/a><\/strong><\/span>.<\/p>\n<hr \/>\n<h4><span style=\"color: #225d71\">Managing the Chat<\/span><\/h4>\n<p><strong>Many of our customers lean on chats to spur interactions.<\/strong>\u00a0To drive and control conversations, they will have a producer man the Chat Pod. That person will respond to questions asked or prompt group discussions. This role should also know how to privately chat with participants if chat is required for troubleshooting or to explain an answer to a question. (Private chats open in tabs on the bottom left of the chat pod &#8211; see the example below.)<\/p>\n<p><a href=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2017\/11\/Chat.png\" rel=\"attachment wp-att-11791\"><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-11791\" src=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2017\/11\/Chat.png\" alt=\"chatting in Adobe Connect MOOC\" width=\"676\" height=\"286\" \/><\/a><\/p>\n<p>Adobe Connect makes it easy for a producer to stand out from everyone else on chat. All you have to do is change your color.\u00a0<strong><span style=\"color: #bb2025\">Red<\/span>\u00a0and\u00a0<span style=\"color: #225d71\">blue<\/span>\u00a0seem to be the best options.<\/strong><\/p>\n<hr \/>\n<h4><span style=\"color: #225d71\">Q&amp;A Management<\/span><\/h4>\n<p>Often, our customers will assign\u00a0one\u00a0or more producers to the Q&amp;A, so technical questions can be quickly answered if asked.<\/p>\n<p><a href=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2017\/03\/QA-assigned-question.png\" rel=\"attachment wp-att-9173\"><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-9173\" src=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2017\/03\/QA-assigned-question.png\" alt=\"Producing Adobe Connect webinars - Assigning question in Q&amp;A pod\" width=\"548\" height=\"209\" \/><\/a><\/p>\n<p>As questions can be assigned in Adobe Connect, it&#8217;s often on our customer&#8217;s lead producer to determine who will receive what questions. The other folks on hand will set their Q&amp;A status to &#8220;Show My Questions&#8221; before the event, and then the lead producer will dole out the questions as is required. If you have a MeetingOne external producer,\u00a0you can easily assign platform or connectivity related questions to\u00a0them and they will handle it for you!<\/p>\n<hr \/>\n<p><span style=\"color: #bb2025\"><strong>Having a number of other producers around to help the lead producer is very beneficial.<\/strong>\u00a0<\/span>While a lead producer probably could handle answering Q&amp;A questions and manage Layout transitions, it seems unlikely they would also be able to chat frequently or create new content on the fly.<\/p>\n<p>The availability of more producers presents unique opportunities to double down on engagement and foster interactions. In turn, the outcome of these large Adobe Connect events may be better.<\/p>\n<hr \/>\n<p><a href=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2018\/07\/External-Team-new.jpg\" rel=\"attachment wp-att-13054\"><img decoding=\"async\" loading=\"lazy\" class=\"aligncenter size-full wp-image-13054\" src=\"https:\/\/www.meetingone.com\/wp-content\/uploads\/2018\/07\/External-Team-new.jpg\" alt=\"external team of adobe connect event producers\" width=\"346\" height=\"305\" \/><\/a><\/p>\n<h3><span style=\"color: #f68920\">External Team Producers &#8211; MeetingOne to the Rescue!<\/span><\/h3>\n<p><strong>While our customers&#8217; producers wrangle engagement and interactions, they look to MeetingOne&#8217;s producers to ensure events are close to flawless.<\/strong>\u00a0We&#8217;re tasked with managing the technical aspects. We can troubleshoot problems and help customers fix issues even before the event airs.<\/p>\n<p><span style=\"color: #225d71\"><strong>Our producers also manage a variety of other functions:<\/strong><\/span><\/p>\n<ul>\n<li>Technical overviews of Adobe Connect for first-time users.<\/li>\n<li>Event dry runs to sort through logistics.<\/li>\n<li>Sub-conference room management for backstage prep and talking.<\/li>\n<li>Live support during the event.<\/li>\n<li>Document upload troubleshooting and fixes.<\/li>\n<li>Reading formal introductory statements or closing remarks.<\/li>\n<li>Assistance with the Q&amp;A, as needed.<\/li>\n<\/ul>\n<p>Technical issues tend to be the nagging bugs that ruin what would be great\u00a0Adobe Connect events. That&#8217;s why many customers come back to us again and again for event assistance. Many of these same customers need an option more reliable than VoIP. It also provides you with an interface for instant feedback on the status of callers&#8217; audio.<\/p>\n<hr \/>\n<p>Early on organizations tend to rely on MeetingOne producers to oversee the interface.\u00a0<strong>Fortunately, Click&amp;Meet is\u00a0a very\u00a0easy to use\u00a0tool.<\/strong>\u00a0So, as they grow more comfortable with the entire production process, our customers will eventually take the\u00a0reins of Click&amp;Meet management for Adobe Connect events.\u00a0 Regardless, it&#8217;s important one producer be available to control Click&amp;Meet.<\/p>\n<p>Read more about why our customers use Click&amp;Meet for speaker management.<\/p>\n<h4><span style=\"color: #225d71\">Speaker Management<\/span><\/h4>\n<p>There was a webinar I participated in a while back. I joined a bit early. Unfortunately, the team putting on the event was gabbing about the presentation and seemed to have no idea that I was eavesdropping. Not a good look.<\/p>\n<p>To be fair, there are always things that you have to sort out in the time leading up to an event. And speaker management is one of those things.\u00a0Click&amp;Meet offers several tools that accommodate speaker management\u00a0without interfering with the event.<\/p>\n<p><strong>Our producers typically use what we call a &#8220;sub-conference room&#8221; for these behind the scenes chats.<\/strong>\u00a0It&#8217;s a separate line from the main room, so the conversations you have will not be heard by early comers. The MeetingOne producers will move our customer&#8217;s speakers and producers into one of the sub-rooms to separate themselves\u00a0and hold private conversations. A short debrief is a good opportunity to identify things that went well and areas for improvement while everything&#8217;s still fresh.<\/p>\n<p>The sub-conference room feature is great for post-event debriefs. You can set up sub-conference rooms so the presenters and producers will automatically return to the same room when the feature is re-opened.<\/p>\n<p>Being separate from the main conference line, you can discuss how the presentation went without being overheard.<\/p>\n<hr \/>\n<p><span style=\"color: #f68920\"><strong>During the call, if there was some reason you absolutely had to pull a speaker aside, there&#8217;s also the Host Corner in Click&amp;Meet.<\/strong>\u00a0<\/span>The Corner is detached from the main room, as well.
